The Role: 

This position leads the Institute’s Enterprise Project Management Office (EPMO), which is housed within the Office of the President. This is an exciting opportunity for a project management expert to develop and instill project management capabilities across the Institute and deliver on its goal of being a strategic support function to the Office of the President. The role will report to the report to the CEO.

The main focus of this role is to deliver on the functions and roles and responsibilities of the EPMO and to consistently align the work of the EPMO with the strategic direction of the Institute. The chosen candidate will be forward-thinking and able to collaborate with senior leadership, ensuring consistent support in embedding and implementing project management practices throughout the organization. They will work with cross-divisional teams to establish and integrate project management methodology and framework, design and oversee relevant training, encourage adoption, and focus on project execution and achieving desired outcomes

The ideal candidate should have experience building, maintaining, and embedding progressive project management practices across complex organizations. This person is adept in the management and oversight of initiatives that drive successful outcomes. They excel at building and maintaining strong relationships and work in collaboration with cross divisional leadership. Extensive expertise managing multidisciplinary resources and parallel lines of projects, with demonstrated success developing and maintaining the following: governance and change management programs, standard operating procedures, process improvement, complex project management, as well as best practices and tools to drive effective project execution. 

 Job Responsibilities: 

 Responsibilities include, but are not limited to the below: 

  • Project Governance & Leadership
    • Provide visible leadership and subject matter expertise in project management principles and disciplines
    • Partner with Management Teams to establish and manage project governance structures and systems (e.g., steering committees, stakeholder communications, risk management plans)
    • Navigate project hierarchy to facilitate decision-making, issue escalation or resolution, and status communication within projects
    • Define, coordinate and lead implementation of strategic decisions on projects with leadership, by benchmarking, evaluating, and recommending best practices that align with Guttmacher’s strategy and culture
    • Provide leadership and support on initiatives to ensure efficient execution
    • Think strategically about knowledge management and how best to implement this to strengthen the functioning of the Institute
       
  • EPMO Management and Operations
    • Manage EPMO budget, staffing, and operations to provide excellent service to divisions
    • Oversee all active projects, analyze status reports, identify risks and issues, and ensure mitigation plans are in place for strategic work
    • Monitor key project metrics and health of project portfolios, report dashboard insights to the Executive Leadership Team
    • Drive process improvements by analyzing project data patterns and leveraging lessons learned
    • Organize and lead EPMO Steering Committee meetings with senior colleagues and leadership
       
  • Establishing and Maintaining Project Management Methodology
    • Develop, implement, and refine standardized project management methodologies, policies, procedures, tools, and templates across the organization
    • Ensure EPMO artifacts are created and signed off at appropriate times based on the project management framework 
    • Establish new processes, procedures, and best practices for the EPMO group including a project prioritization and governance model that the steering committee and the EPMO will utilize 
    • Own the development and assessment of the EPMO portfolio of key projects by implementing a continuous process of identifying new projects, prioritization of all projects, and execution
       
  • Collaboration & Adoption
    • Cultivate relationships and credibility with senior leadership and key stakeholders
    • Build and foster collaborative relationships across the organization, remaining informed of new initiatives/processes
    • Provide attentive mentorship, ensuring project management knowledge and skills are maintained in EMPO
       
  • Supervision
    • May supervise a team as needs are identified

Qualifications: 

  • Bachelor’s degree with a concentration in business, project management or similar.
  • Active project management certification, PMP or similar
  • Minimum of 10 years of experience in project management roles
  • Demonstratable experience helping to build/steward project management offices and delivering key projects and programs
  • Exposure to/work experience with nonprofits a plus

 

Knowledge and Experience: 

  • Subject matter expert in project management
  • Demonstrated prior experience with building/maintaining project management offices
  • Proficient in Office 365/Excel/PowerPoint, experience with working with Microsoft Teams and SharePoint sites, PM software and tools such as Visio, Asana
  • Proven track record of establishing and leading project management functions
  • Experience managing complex projects with multiple phases
  • Ability to work independently through ambiguity and to influence change
  • Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships with internal and external stakeholders
  • Analytical and problem-solving abilities, with a data-driven approach to decision-making
  • Experience working with senior leadership

Salary and Benefits:

Starting salary at $163,218 to $228,442 commensurate with experience. Excellent benefits that include medical, dental, vision and life insurance; vacation, personal and sick time; paid parental leave; tuition reimbursement; commuting subsidy; and 401(k) with employer match.
